E-invoicing mandatory from 2024! Why implement now?

E-invoice and the National e-Invoice System (KSeF) are the next steps in the digitalisation of the treasury. The Council of Ministers has adopted draft amendments to the VAT Act. This is a big step into the digital world and a change that all companies will, sooner or later, have to implement.

Why e-invoice?

An e-invoice is a structured invoice (i.e. created in a structured XML format), which was introduced in the VAT amendment bill passed by the Council of Ministers on 31 August 2021.

SAP e-invoices can be issued via an ICT system, the National e-Invoice System (KSeF). It brings together all invoices issued by entrepreneurs. It can be accessed via a special account that has been developed within the e-Invoice Office.

E-invoicing – from when mandatory?

Currently, traders use the KSeF on a voluntary basis. It is one of the possible methods of documenting sales. The National e-Invoice System has been operational in Poland since 1 January 2022, while e-invoices will become mandatory from 2024.

The Ministry of Finance is testing the new solution together with business from 2021 so that as many companies as possible start using structured invoices.

Benefits of e-invoice SAP – why introduce now?

The issuing of structured e-invoices has a number of benefits. They include:

Speed – by opting for an e-invoice, you will receive a VAT refund in just 40 days (rather than 60 as before).

Security – the invoice remains in the Ministry of Finance’s database, so you don’t have to worry about it being destroyed or lost.

Speeding up turnover: by exchanging data via the Ministry’s database, you are assured that the invoice has reached the counterparty.

Comfort and standardisation: e-invoices will be created according to a single template, mutual billing and accounting will become easier.

Fewer obligations: there is no need to archive invoices issued in KSeF, as they will be stored in the ministerial database for 10 years.

Adaptation of IT systems to innovation

E-invoices will be exchanged via an ICT system, the National e-Invoice System (KSeF). According to the Ministry of Finance’s plan, operation of the system will be possible from both computer and mobile devices.

The challenge here may be the integration of the company’s invoicing system with KSeF. The Ministry of Finance has made the guidelines for e-Invoicing (FA_VAT) available in draft form on its website to enable taxpayers to adapt their IT systems to the innovation.
