HOW LONG DOES IT TAKE TO ACTIVATE E-FILES FOR SAP? 

A maximum of 3 months. 

 

CAN I DELIVER PERSONNEL PAPER FILES TO EMPLOYEES? 

Yes, if you properly prepare scans and sign them electronically then you can issue originals to employees. 

 

DO I NEED AN ELECTRONIC SIGNATURE IN E-FILE FOR SAP PRODUCT? 

Yes, according to the regulation on employee records, any document that was created on paper must be electronically signed “for compliance with the original”. 

 

ARE ELECTRONIC SIGNATURES AN ADDITIONAL COST? 

We use signatures that are used to send PIT/Payer data, so usually HR already has them. If not, you buy them from a qualified trust service provider (KIR, Certum, PWPW). 

 

HOW MUCH DOES AN ELECTRONIC SIGNATURE COST? 

The cost of buying one new signature is about PLN 200 / person, and then renewal every year is about PLN 100 / person. 

 

WHO ACTUALLY NEEDS A QUALIFIED ELECTRONIC SIGNATURE IN E-FILE FOR SAP PRODUCT? 

The signature is needed by HR employees digitizing employee files. 

Documents can be signed during scanning, or they can be loaded into SAP without a signature and then signed collectively in e-File product. 

 

WHEN DOES THE OBLIGATION TO SIGN SCANNED DOCUMENTS ARISE? 

The obligation to sign electronically arises when you want to issue paper employee files and keep the data only electronically for 50 years. 

 

CAN I USE MY QUALIFIED SIGNATURES, IS THERE THEN A NEED FOR SOME KIND OF MODIFICATION, IMPORT OF CERTIFICATES? 

Yes, you can use signatures that are currently used by the company. So far we have used multiple readers and cards (KIR, PWPW, Certum) + an option without readers, i.e. a cloud signature from Certum. 

 

HOW CAN I USE THE SIGNATURE APPLICATION ? 

The user clicks on a button in SAP and the scanning and signing program is called up automatically. When the scanning is completed, the scanner window is closed and the prepared signed PDF automatically goes into the e-File in SAP. 

 

HOW DO YOU INSTALL THE SIGNATURE APPLICATION? 

The signature application is automatically installed when the user first clicks on the scan button in SAP. 

  

WHAT IF WE HAVE ONE SHARED SCANNER PER FLOOR AND THE USER AUTHORIZES WITH A CARD? 

We support uploading documents from a network resource. 

 

CAN WE DO THE CONFIGURATION OF DEFICIENCY VERIFICATION IN E-FILE SAP OURSELVES? 

Deficiencies can be set up dynamically through filters by HR structure, such as authorizations for electricians or work at height. You decide what will be controlled. 

 

DOES NOT RUNNING E-FILE REPORTS OVERLOAD THE SYSTEM? 

We use logical PNP databases everywhere, so the report charges the system as much as any HR report. There will be no noticeable difference before and after installation. 

 

DON’T MASS DATA IMPORTS/EXPORTS put a strain on the system NP. IF I IMPORT 5000 E-TECKS AT A TIME? 

The majority of the time will be taken up by uploading PDF files to the file server. Therefore, it is better to perform the upload in stages. 

 

HOW MUCH SPACE DOES ONE DOCUMENT TAKE UP? 

On average, one PDF page is 0.5 MB. That is, assuming 5000 folders * 100 pages/file * 0.5 MB is about 250 GB of data. 

 

IS IT POSSIBLE TO SOMEHOW AUTOMATE THE INITIAL SCANNING OF ARCHIVE FILES? 

We use barcodes for this purpose. The user can use them to mark both the person and a specific part of the file. This ensures that the documents go to the correct folder and tab. 

 

IS IT POSSIBLE TO NAME THE FILES SOMEHOW TO SIMPLIFY THE IMPORT FROM THE COMPANY THAT IS SCANNING? 

Yes, we have a special naming format that allows automatic recognition of the employee and the type of document. 

 

IN THE OFFER THERE IS INFORMATION ABOUT BARCODE SUPPORT – DO WE NEED TO INSTALL IT ADDITIONALLY? 

Barcode reading software is supplied with the file scanning program and is activated automatically. 

 

IS E-FILE FOR SAP A BOX PRODUCT OR A CONFIGURABLE ONE? 

During installation, we provide a proposal for settings, which are later discussed and set according to HR guidelines. 

IS IT NECESSARY TO CREATE SOME SPECIAL TYPE OF CONNECTION OR DOCUMENT REPOSITORY? 

Yes, we use the SAP Content Server. Upon request, we can connect to another file server that supports HTTPS. 

What do I get in the Minimum package for KSeF SAP product?

As part of this package we provide you with installation files, and instructional material. Your team installs the product itself and maps the data.  As a whole, the process takes approximately one week.

What does the Standard package for KSeF in SAP include?

In this package, we install all the software and map your data. We connect the additional fields that are on your invoice. Your team only supports us by pointing out where the data comes from.

What does the Premium package for KSeF in SAP offer?

With this package, we implement everything that we do in the Standard package, plus we provide a regulatory specialist to advise your team on how to fill in the various fields, and we implement online training for users.

Do I have to pay any additional costs after purchasing the Haergi’s SAP for SAP product?
