Tax declarations in SAP HCM are an obligation that can effectively consume the time, resources, and energy of HR teams. Especially in a large organization, where the lack of integrated solutions increases the risk of errors and delays, and document handling is critical.
This was the case with CA – a client from the HR and payroll outsourcing sector who approached us with the need to automate and organize the process of sending tax declarations from SAP.
Together with CA, we implemented our proprietary e-Declarations solution, integrated with SAP HCM and a qualified electronic signature.

Until now, CA had been using a simple program to send declarations, which was not integrated with the SAP system and did not allow for document archiving or centralized management.
Work on each declaration required manual preparation of the XML file, exporting data outside of SAP, and storing documents in folders.
This meant repetitive work and a heavy burden on HR teams.

The goal of the project was to implement a comprehensive solution that would allow:
- creating, signing, and sending declarations directly from SAP,
- eliminating external tools and manual work,
- gaining full control over the process and documentation,
- ensuring compliance with regulations and complete data history.
Solution: e-Declarations integrated with SAP
In response to the client’s needs, we implemented the e-Declarations solution – a product based on the SAP standard, extended with electronic signature features and full handling of the data submission process to the Ministry of Finance gateway.
Key functionalities of the implementation:
- generating XML documents from SAP HCM data,
- managing PIT documents and their visualization,
- signing declarations with a qualified signature (XAdES),
- direct submission of documents to the Ministry of Finance gateway,
- access to documents with a columnar summary of amounts,
- a dedicated solution enabling corrections and document completion.
The entire solution was placed within the SAP environment, enabling a smooth transition between the preparation and submission stages of declarations, without the need to export data to external applications.

The implementation of e-Declarations brought CA a number of measurable benefits:
- significant reduction in time needed to prepare and send declarations,
- elimination of the risk of errors during repetitive tasks,
- access to document history directly in SAP,
- file submission directly to the Ministry of Finance gateway,
- greater work comfort for HR teams.
The CA team gained a stable and secure tool that supports both daily duties and makes the most of SAP’s product support.
