There are different formats for electronic signatures – PAdES, XAdES, CAdES, ASiC.
Here we will answer the question why PAdES is the best for e-file. Ignorance when choosing SAP personnel file storage software can cost us a lot – some vendors overlook this issue and, as a result, such a tool can cause a lot of trouble during use.
What is PAdES and what is it used for?
PAdES, that is a signature for the PDF format
PAdES (PDF Advanced Electronic Signature) is an electronic signature format suitable for signing files with the PDF extension. According to the Council of Ministers regulation of April 12, 2012, this is what we should use to sign documents in this format.
The PAdES signature also acts as an electronic confirmation of ‘conformity to the original’. Every paper document should be signed electronically already at the scanning stage. Only then can we switch fully to electronic files and issue paper versions to employees.
A qualified electronic signature (and this is what PAdES is) is equivalent to a handwritten signature, so you will sign virtually any document with it that does not require the form of a notarial deed.
How to use PAdES?
How to apply the PAdES signature in practice? A properly completed document simply saves as a PDF. If you’re creating a document in Word, turn it into a PDF when you’re done editing, and then apply the signature using special electronic signature software. You can also scan the paper document directly from the scanner into PDF format.
Our e-File has both scanning and electronic signature software in PAdES format. You don’t need to look for more tools on the market to make your SAP e-File work smoothly. We provide all the necessary components including e-signature software. And the most important thing is that our signatures do not expire.
Why PAdES?
What are the advantages of a PAdES qualified signature?
- It is both Polish and European (eIDAS) format. The signature is honored in every EU country.
- Once it is used, a single, integral document is created that contains both the signed content and the signature itself.
- A visualization appears in the file, indicating that it has been properly signed.
- The signature in PAdES format makes it impossible to later change or modify the data in the document.
- The signed file can be opened with a popular program designed to open PDFs, such as Adobe Reader or Foxit Reader.
PAdES qualified electronic signature is the simplest and most popular way to sign documents both in business and government.
E-signature of Haergi has full compliance with the European PAdES standard confirmed by an independent standardization institute (ETSI). You can use it to sign documents directly in the SAP system, as well as those coming from the scanner. Do you have questions? Let’s contact!
